Records
The Records Division is responsible for maintaining the accuracy and integrity of records kept in response to daily police activity, which requires knowledge of the records management system. The division is also responsible for processing and complying with public access requests for records, subpoenas, and other court orders.
The records staff comprises five civilian staff members.
The division is responsible for completing background checks, researching crime statistics, providing discovery for attorneys, submitting certification of ordinance violations, compiling Uniform Crime Reporting (UCR) National Incident-Based Reporting System (NIBRS) information for the State and FBI, and preparing all reports and necessary paperwork to send to the prosecutor's office to determine if criminal charges will be filed. The division also disseminates paperwork to other agencies, including juvenile and adult probation, DCS, PREVAIL, and the Indiana Missing Children's Clearinghouse.
Records staff also have varying responsibilities, including customer service, collecting and processing fees, processing gun permits, tow releases, and conceal carry permits, collecting and analyzing crime statistics, quality control and assurance, fulfilling subpoenas and public access requests, and complying with records retention laws.
The Records Division also supports the patrol and investigations divisions, takes on special projects, including statistics and presentations, and assists with community days, social media, and other administrative duties as needed.
